Roster template required fields

Introduction
There are several different import types. This article specifies the template fields that are required for each import type.

Standard

This import type imports students and teachers. It creates student profiles and teacher accounts, or updates existing profiles and accounts. It also creates teacher classes and assigns students to classes. This is the recommended import type for most purposes.

The required fields for this import type are below. The column letter and the column name are listed.
  • B: School Name
  • D: Instructor ID
  • F: Instructor Last Name
  • G: Instructor First Name
  • I: User Name
  • K: Class Name
  • M: Student ID
  • O: Student Last Name
  • P: Student First Name
  • R: Student Date of Birth
  • S: Student Gender
  • T: Student Grade
  • U: Student Ethnic Group Name

All other columns are optional, although some may be necessary for reporting purposes for some districts. If you are unsure whether you should use an optional field, please contact Partner Support. Do not delete optional columns; for the import to succeed, all columns must be present in the file, even if they are not completed.

 
Standard - Students Only

This import type imports student information only. Students are not assigned to classes, and no teachers or classes are created or updated with this import type. This import type is useful if you need to test students before they have received classroom assignments. It is also useful if you need to update or correct information for students already rostered for the term. For example, if a previous import rostered all students to the wrong grade, you could use the Students Only import type to correct the student grades.

Required fields for this import type are below. The column letter and the column name are listed.
  • M: Student ID
  • O: Student Last Name
  • P: Student First Name
  • R: Student Date of Birth
  • S: Student Gender
  • T: Student Grade

Optional fields for this import type are below. The column letter and the column name are listed.
  • B: School Name
  • L: Previous Student ID
  • N: Student State ID
  • Q: Student Middle Initial
  • V: Student User Name
  • W: Student Email

All other columns will be ignored, even if they are populated with data. Do not delete unused columns; for the import to succeed, all columns must be present in the file, even if they are not completed.

 
Standard - Instructors Only

This import type imports instructor information only. It does not update or create students, nor does it update or create classes. This import type is useful if you need to create instructor accounts before students are assigned to classes. It is also useful if you need to update or correct instructor information. For example, if you are updating all instructor usernames and email addresses, you can use this import type. The Additional Users import type is also useful for updating instructors.

Required fields for this import type are below. The column letter and the column name are listed.
  • B: School Name
  • D: Instructor ID
  • F: Instructor Last Name
  • G: Instructor First Name
  • I: User Name
 
Optional
fields for this import type are below. The column letter and the column name are listed.
  • J: Email Address

All other columns will be ignored, even if they are populated with data. Do not delete unused columns; for the import to succeed, all columns must be present in the file, even if they are not completed.

 
Additional Users

This import type imports any kind of user. It does not update or create students, nor does it update or create classes. This import type is used to create many user accounts at once, or to add roles to many user accounts. For example, you can use this import to add all your administrator level users, or to add the School Proctor role to your instructors. It is also useful for updating employee information. For example, if your school has changed email address format, you can use this import type to update all your users' email addresses and user names.

The Additional Users template has different columns than the Standard roster template.

  • E: Last Name
  • F: First Name
  • H: User Name

All other columns are optional. Do not delete unused columns; for the import to succeed, all columns must be present in the file, even if they are not completed.

 
Programs

All columns (both A - Student ID and B - Program Name) are required in this template. Do not add or delete any columns in this template.
