How to reconcile school errors

Introduction
Under Reconcile Errors, you get a school error. A common error is "School Name not found or inactive for the selected term".

Steps
This error usually occurs if:
  • School name on the roster does not match the Custom Name for the school in MAP
  • School has not been added yet
  • School is inactive for the term

You have three options for reconciling this error:
  • Do Not Reconcile at this Time: This allows you to see the next error. You must return to resolve this error later in order to post the roster file.
  • Replace incoming School Name with the following selection: This option allows you to start typing the school name in the box. After you enter three characters, it will pull up a list of schools that match those three characters. If you find the appropriate school in that list, you can select the school and click Save and Next. This reconciles the error and moves you onto the next error in the category.
  • Import users without creating associations to this school: This option imports all students and teachers without making an association to a school or class. If you choose this option, student results will not show up on any reports. This option does allow you to post the roster file.

Most errors can be resolved without having to correct your file and re-import.

To reconcile the error:

Take the following steps. If one step does not resolve the error, continue to the next step:
  1. Verify that the school name on your roster matches the school name in MAP.
    1. Select the option Replace incoming School Name with the following selection.
    2. Start typing in any part of the school name. After you enter three characters, a drop down menu will appear with schools at the district that match.
      • You can enter letters from the middle of the name if you wish. For example, if you are unsure whether a school is named "Saint Mary's School" or "St. Mary's School", you can enter "mary" to find the correct spelling.
      • If you're unable to find the school name, or if the school name is incorrect in MAP, skip to step 2.
    3. Select the correct school and choose Save and Next. This will update the incoming record with the school name you select.
    4. Recommended: Update the school name in your roster file so that it matches the school's custom name in MAP exactly. This will allow you to re-use the file in the future while avoiding errors.
  2. Verify the spelling of the school's custom name in MAP.
    1. Go to Modify Preferences > Modify District. If you do not have access to Modify Preferences, please contact the MAP System Administrator or MAP Assessment Coordinator at your organization.
    2. Locate the school in the list.
    3. Note the Custom Name for the school. The school name in your roster should match the custom name exactly.
      • If the custom name does match the name in your roster exactly, skip to step 3.
    4. Select the school.
    5. Select Edit Name.
    6. Type in the updated custom name for the school and click Submit. This name should match the name in your roster exactly.
    7. Return to Import Profiles > View Import Summary > Reconcile errors.
    8. Select Revalidate Group Errors to resolve the error.
  3. Verify that the school is active.
    1. Go to Modify Preferences > Modify District.
    2. In the School section, select the appropriate school.
    3. Select View/Update Terms.
    4. If there is no check mark in the Active column for the term, select the school and choose Edit School Term.
    5. Under the School Details section, select the box next to Active.
    6. Select Submit.
    7. Return to Import Profiles > View Import Summary > Reconcile errors click Revalidate Group Errors to resolve the error.
